The total Contract award was in the amount of $20,875,000. To date, the total Contract amount used is $10,930,767.81. The additional funding increase of $26,609,587.32 will bring the total Contract amount to $47,484,587.32 should all renewal options be exercised, with increased user requirements included. |
BACKGROUND:
On April 20, 2021, the Board of County Commissioners (Board) approved the award of CBE No. 605821-21 to Microsoft (LBE) in the amount of $20,875,000 for software products and to authorize the issuance of purchase orders through Microsoft's reseller CDW Government LLC (LBE).
The following are the pertinent provisions of the Agreement: • The term of the initial Enrollment was from date of award through April 30, 2024, and included the option to renew for one (1) 36-month period. There is 1 renewal option remaining. Rather than renewing, County is executing new Enrollments. • The new Enrollments are from date of award through October 31, 2030. • Included the option to increase the award amount up to 25% based on possible increased user requirements for the renewal terms and approved budget appropriations. • Included the County’s option to terminate for cause, or default and suspend the Contract with advanced written notice.
A revised Fiscal Directive No. 6, Competitive Bidding Exception, was approved because County wishes to continue to use Microsoft by entering into new Enrollments. Two of the three Enrollments will be consolidated, which will have significant cost savings to County.
This approval will provide a funding increase and allow future renewal Enrollments to be routed internally and executed by Chief Financial Officer.
Microsoft currently holds a Clark County Business License and CDW Government LLC currently holds a Clark County Business License.
