The original contract was funded at a not-to-exceed amount of $200,000 and subsequentially increased to a not-to-exceed amount of $784,000. A new not-to- exceed contract amount of $1,700,000 will be allocated and spent on approved budgets.

 

BACKGROUND: 

The District has an annual requirement to purchase new vehicles to meet its operational needs. Each year, staff assesses the current fleet of vehicles to determine which ones should be decommissioned due to age or high mileage. This ensures sufficient transportation options for District staff and maintains continuous operations. Having an adequate supply of vehicles is crucial for supporting daily activities.

On August 7, 2023, the General Manager approved the award of CFN No. 240012 to Valley Automotive Group dba Ford Country (“Ford Country”) for a not-to-exceed amount of $200,000 via a joinder to the State of Nevada Contract No. 99SWC- NV21-8812 for the purchase of four (4) Ford fleet trucks.

On June 27, 2024, the General Manager approved an increase of $584,000 to the original not-to-exceed contract amount to purchase an additional eleven (11) Ford fleet trucks.

The District plans to purchase an additional nineteen (19) Ford fleet vehicles fifteen (15) Maverick hybrid trucks, one (1) Transit cargo van, and three (3) Escapes and/or their equivalent) during the FY 24/25 period, pending Board approval for the purchase amount. The term of this contract was extended by the Lead Agency through June 30, 2025, to allow for the negotiation and award of a new contract.

Staff recommends that the Board authorize the General Manager to continue utilizing the extended State of Nevada Contract No. 99SWC-NV21-8812 with Ford Country, for the purchase of Ford vehicles through the expiration of the extended term.

NRS 332.195(1)(b) allows public agencies to use the contracts of the State of Nevada or another state with the authorization of the contracting vendor. Ford Country has authorized the District to use this contract in order to take advantage of the competitive pricing offered to public agencies. Clark County Business License has determined that Ford Country (LBE), does not require a business license or business registration.
